Privacy Policy
Last updated: 28 October 2026
This policy explains what information I collect when you use this website or work with me, what I do with it, and the choices you have. I’ve kept it in plain English. If anything isn’t clear, just email me.
Who I am
The Trade SEO Setup is a service run by Bespoke Marketing Plans Ltd, a company registered in England and Wales (company number 14667684). Our registered office is Suite 430, 37 Westminster Buildings, Theatre Square, Nottingham NG1 6LG.
Bespoke Marketing Plans Ltd is the “data controller” for your information. That means we decide how it’s used and we’re responsible for looking after it. We’re registered with the Information Commissioner’s Office (ICO) under registration number 00012152507.
For anything to do with your information, contact Guy Hudson at guy@bespokemarketingplans.co.uk.
What information I collect
When you ask for a free website review, the form asks for your name, business name, trade, website address, the area you cover, your email address and phone number, how much a typical job is worth to you, and anything else you choose to tell me about your business.
When you book a setup, I’ll hold your invoices and a record of your payments. I’ll also keep the information you give me about your services, the areas you cover and the searches you want to show up for. I don’t store your card or bank details. Payments are made either by bank transfer or through GoCardless, which collects and holds your payment details securely on its own system.
While I’m doing the work, I’ll need access to your website, and sometimes to your Google Business Profile or Google tools. See “Your website login” below for how I handle this.
When we talk, I keep our emails, messages and notes from any calls.
When you visit this website, some information is collected automatically, such as your IP address, browser and device type, and the pages you looked at. This is done through cookies and similar tools, which are explained in the cookies section below.
I don’t ask for, and don’t want, any sensitive information such as health details. Please don’t include it in the form.
How I use your information, and why I’m allowed to
Data protection law says I need a legal reason (a “lawful basis”) for each way I use your information. Here’s what I do, and the reason for each:
- To prepare and send your free website review, and follow up about it. You asked me to, and I have a legitimate interest in responding to enquiries about my services.
- To carry out your setup, any monthly plan, and the support that comes with it. This is needed to deliver the contract between us.
- To invoice you, take payment and keep business records. This is needed for our contract and to meet legal obligations such as tax and accounting rules.
- To check how this website and my adverts are performing. I only do this with your consent, through analytics and advertising cookies.
- To keep this website secure and stop spam. I have a legitimate interest in protecting the site and the people who use it.
I won’t add you to a mailing list or send you marketing emails unless you’ve agreed to it, and you can ask me to stop at any time.
Your website login
To do the work, I need access to your website. Wherever your website builder allows it, please create a separate user account for me rather than sharing your own password. That way you stay in control and can remove my access in one click.
Any login details you give me are stored securely in a password manager and are only used to carry out the work you’ve booked. They’re never passed to anyone outside the work, and I delete them when the work finishes. If you shared your own password, I recommend you change it once I’ve finished.
Who I share your information with
I never sell your information. I only share it with the people and services that help me run the business and deliver the work, and only as much as they need. These are:
- Freelancers who help me deliver the work, who are bound by confidentiality
- My website hosting provider, which stores the information sent through the form
- Google Workspace, which I use for email and documents
- Xero, which I use for invoicing and accounts
- GoCardless, which processes payments if you choose to pay that way
- The SEO and reporting tools I use to check your website’s rankings and performance
- Google and Meta (Facebook), for website analytics and advertising, but only where you’ve accepted those cookies
- My accountant, and HMRC or other authorities where the law requires it
Information sent outside the UK
Some of these services, such as Google, Meta and Xero, may store or process information outside the UK, including in the United States. Where that happens, I rely on safeguards recognised by UK law, such as the UK–US data bridge or approved contract terms. These make sure your information is protected to UK standards.
How long I keep it
- Free review enquiries that don’t go ahead: deleted after 12 months.
- Client records, invoices and payment records: kept for 6 years after the end of the financial year they relate to, because tax law requires it.
- Website login details: deleted as soon as the work is finished.
- Analytics data: kept for up to 14 months, then deleted automatically.
Cookies
Cookies are small files stored on your device when you visit a website. This site uses three kinds:
- Essential cookies keep the site working and secure. These don’t need your consent.
- Analytics cookies (Google Analytics) show me how many people visit and which pages they use.
- Advertising cookies (the Meta Pixel) tell me whether my Facebook and Instagram adverts are working, and let me show adverts to people who’ve visited the site.
Analytics and advertising cookies are only set if you accept them in the cookie banner. You can change your choice at any time using the cookie settings link at the bottom of the page, or by clearing cookies in your browser.
This site also loads fonts from Google, which means your IP address is shared with Google so the fonts can be displayed.
Your rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct anything that’s wrong
- ask me to delete your information
- ask me to stop or limit how I use it
- object to me using it where I rely on legitimate interests
- withdraw your consent at any time, where I rely on consent
- ask for your information in a format you can take elsewhere
To use any of these rights, email guy@bespokemarketingplans.co.uk. I’ll reply within one month, and there’s no charge. Some of these rights have limits. For example, I can’t delete invoices I’m legally required to keep, and I’ll explain if a limit like that applies.
Keeping your information safe
I use secure, password-protected systems with two-factor sign-in where available. Only the people who need access to do the work get it.
Complaints
If you’re unhappy with how I’ve handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator. You can do this at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
Changes to this policy
I may update this policy from time to time. The date at the top shows when it was last changed.
